Hurray, you did it, you rented the best Audio Guestbook phone known to mankind. Now, let’s help you get party-ready so you can get the most use out of your phone and capture some amazing, heartfelt messages during your event!
Make sure it’s working!
This may seem obvious, but in order to get the most use out of your audio guestbook phone, you’ll need it to be working. Now, we design, build, and test every phone thoroughly to ensure full functionality, but it requires participation on your end. The most obvious part is plugging the phone in to a power source, either the included wall-outlet or optional battery pack. Following the specific instructions included in your order email, as well as inside your box will ensure your phone is working and you are all set to go before your big day. Don’t forget to also note the easy, safe-shutdown procedure to ensure your valuable messages don’t get lost due to data corruption.
Find an optimal setup location(s)
Ok, now that we’ve determined everything is working as expected, the next step is to find a place to put the phone. The key here is to find a balance between a highly trafficked location, and somewhere that is not too noisy (i.e. not right next to the dance floor and DJ’s speakers). A welcome table is usually a great idea, as you will already likely be displaying mementos that guests will want to visit and having the phone available will be a sure-fire way to entice them to record a message.
What about if your event takes place in multiple locations? Easy! Your audio guestbook phone can be safely powered off/on as many times as you want during your rental, and all of your messages will be saved. This means you can have it setup in one area for cocktail hour, perhaps near a bar that will get a lot of visitors and can then move it to another area during reception or your after-party that will make it easy for guests to find without going out of their way. And if you booked an optional battery pack, it’s as easy as picking it up and setting it down somewhere new. Again, the key here is out of sight, out of mind, so make sure guests can easily find the phone, wherever that perfect location is for you!
Display instructional signage to guests
While using the audio guestbook phone may seem super intuitive and obvious (pick up the phone, leave a message), guests don’t always know what it’s for. So, it’s best to not assume, and instead, give guests a reason to pick up the phone and leave a message!
A simple sign on display that asks guests to pick up the phone, wait for the beep, and leave a message will ensure more people know what to do, and will result in more messages overall from your event. Don’t worry, we’ve got you covered. You can easily customize and print one of our many audio guestbook signs online. Simply pop into a frame of your choice, and voila, you have a beautiful instructional sign that will work with your decor and help guests know what to do.

Keep it fun!
Let’s face it, no one likes to be told what to do. If your signage practically demands guests leave a message, and tells them precisely what to say, it’s going to squash their enthusiasm and you’ll probably get dull messages with the same blah-blah filler as the next person.
Encourage them to have a few drinks, open up about their favorite past-time, best memories with you, top wedding advice, or just say whatever’s on their mind. Doing this will help encourage your guests to leave more candid messages resulting in awkward, heartfelt, sometimes hilarious messages that will make your ears perk up when played back. On that same note, make sure your voicemail greeting reflects the same sentiment! Keep it light, fun, and bring the energy. Sure, it can feel weird hearing the sound of your own voice played back to you, but if you set the tone for the call by solemnly asking your guests to leave a message, it’s not going to really encourage them to get creative.
Need some inspiration on what to say for your custom voicemail recording? Have fun, play some music, maybe have a drink before sharing how psyched you are that they are there and to say what’s on their mind. We promise, you’ll thank us afterwards.
